Hybrid Mode

ISMAR 2023 will be held in hybrid mode. However, we expect a lively conference, with mostly in-person attendees. During your registration, you will need to indicate if you’re going to attend the conference only online or in person at the physical venue in Sydney. Attendees of the online conference will get access to the ISMAR 2023 channels in zoom, gathertown, and slack. Attendees of the physical conference will get access to the venue in Sydney in addition to the ISMAR 2023 channels in zoom, gathertown, and slack. 

Conference Fees and Registration

All registration fees are provided in Australian Dollars (AUD) and include GST. The early bird registration deadline is 15 September, 2023, 23:59 AoE. Following this date, late registration fees will apply. 

You must register for the conference to receive an invitation letter for VISA applications. These will be sent automatically via email for completed registrations. Please contact the Conference Secretariat for any enquiries ([email protected]).

Registration Categories

IEEE Member Rate/ IEEE Life Member Rate

To be eligible for the IEEE Member rate, registrants must be a member of IEEE.

Non-Member Rates 

A Non-Member is defined as a delegate attending IEEE ISMAR 2023 who is neither a member of the defined Professional Association nor a full-time student.

Student Rate

A Student is defined as a holder of a student identification card from a recognised tertiary or secondary educational institution or international student card. Students must be studying full-time to qualify for the discounted rate and will be required to upload a copy of their student identification.

Social Functions

A Conference Party will be held on Wednesday 18 October and all full (5-Day) conference registration are entitled to attend, however a confirmation is required on registration.  Additional tickets can be purchased.

Registration for Authors 

For Authors of Journal, Conference, Poster, Demo, invited TVCG, and invited CG&A Papers:

For each accepted paper, at least one author must register for the conference, with a full (5-Day) conference registration by 15 Sep 2023 to allow presenting the work at the conference. Paper authors are expected to engage during the entire conference by discussing their work online or in person with other attendees of the conference.

For Authors of Workshop, Tutorial, Competition, and Doctoral Consortium Papers and presenters of Pitch Your Lab:

For each accepted paper, at least one author must register, with a 1-Day conference registration (or full 5-Day registration) by 15 Sep 2023 to allow presenting the work at the conference.

Non-Presented Paper (No-Show) Policy

IEEE ISMAR 2023 traditionally enforces a “no show” policy. Any accepted papers included in the final program are expected to have at least one author or qualified proxy to both register and attend (in-person or remotely) to present their paper at the conference. Authors of the accepted papers included in the final program who do not register and present at the conference will be added to a “No Show List”, compiled by the Conference. The “no show” papers will not be published by IEEE on IEEE Xplore or other public access forums, but these papers will be distributed as part of the on-site electronic proceedings and the copyright of these papers will belong to the IEEE.

Method of Payment

Registration can only be confirmed once payment is received.
Payment can be made by any of the following methods:

    • Credit card: Visa, MasterCard and American Express are accepted. If you are making a credit card payment from a country outside Australia, for security reasons you may wish to first advise your banking institution of the impending charge and authorise them to allow the charge to Australia to go through. Please note that charges to your credit card will appear as being from “ICMS Australasia Pty Ltd” on your bank statement.
    • Bank Transfer: Please Include your surname in the transfer and email the transfer receipt (remittance) to the Conference Secretariat [email protected]

Please note that unfortunately we are unable to accommodate Companion Cards.

Cancellation and Refunds

Cancellation of Registration Deadline: 15 September 2023

Cancellations (partial or full) must be made in writing to the Conference Secretariat. Cancellations for in-person registrations made by 15 September 2023 will result in a full refund less $150 to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person in the same category by 15 September 2023, without incurring any cost penalty. The host reserves final decision on a case-by-case basis for granting a cancellation in extenuating circumstances. It is recommended that travel insurance be secured personally upon registering. The Conference Secretariat must be advised in writing of any alterations or transfers of registrations.

Disclaimer

The Symposium and its agents reserve the right to alter without prior notice, any of the arrangements, timetables, plans or other items relating to the conference, for any cause beyond its reasonable control. The host and the Conference Organisers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, the host and the Conference Organisers do not accept responsibility for the loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The conference does not cover individuals against cancellations of bookings or theft or damage to belongings.
